Hybrid Events

Something that is becoming more and more common in our industry is what is called hybrid meetings. A hybrid meeting means having both guests on site and guests participating via a digital channel at the same time.

For example, it could be a conference with 400 guests in a ballroom where staff from the local office attend in person while the rest participate digitally via live stream. Such a solution is both cost-effective and environmentally sustainable.

We have solutions for hybrid meetings in all formats, regardless of whether the majority of guests participate live or digitally. We deliver set design, décor and a complete technical solution for guests on site, while our video technicians produce a first-class TV broadcast for your guests participating digitally.

If you want to combine your live stream with a digital platform for interactivity and communication between guests, we are close partners with Swedish platform provider Twebcast.

Frequently asked questions about hybrid events

What is a hybrid event and how does it differ from a digital event?

A hybrid event has a physical audience on site and a digital audience participating via live stream or a digital platform – simultaneously. A digital event has no physical audience. The hybrid format combines the energy of meeting in person with the ability to reach more participants without geographical or economic constraints.

How do you ensure the digital broadcast is broadcast quality?

Our video department films with studio cameras that are directed and mixed into a finished TV programme in real time. We use video mixers, media servers and streaming equipment adapted to professional live broadcasts – with redundant connections and backup for critical parts of the signal chain.

Can you combine the live stream with an interactive digital platform?

Yes. We work closely with Swedish platform provider Twebcast, which offers interactive features including Q&A, voting, networking and participant segmentation. Twebcast integrates with our live stream for a seamless experience for digital participants.

Can you deliver lighting that works well for both the room and the camera?

Yes. Lighting for hybrid events requires a balance between stage lighting for the audience on site and studio lighting with the right colour temperature and character for the camera. Our lighting department has extensive experience of this balance and selects fixtures and settings specifically suited to the hybrid format.

Can you deliver hybrid events with live artists and bands?

Yes. Our sound department delivers live band equipment and artist systems – microphones, monitors, mixing consoles and DJ equipment – and handles separate audio mixes for the room and for the digital broadcast so that both groups receive an optimal listening experience.

Can you produce a 3D rendering of the hybrid event set design?

Yes. Our visualisation department produces to-scale drawings and photorealistic 3D renderings of the set design before production starts – effective decision-making material when design and budget need to be approved across multiple levels.

Can you produce graphics and content for the digital broadcast?

Yes. Our content and graphics department produces bumpers, jingles and intros optimised for the hybrid format's broadcast and platform. They help convert existing brand guides to the right file formats and resolutions, and handle post-editing of recorded camera material after the event.

How large can the physical audience be at a hybrid event?

There is no upper limit in the format – we have delivered hybrid events from intimate meetings with 20 participants in a conference room to productions with 1,500 guests on site and tens of thousands of digital viewers, such as Nobel Week Dialogue at Stockholm Waterfront. EDGE scales technology and set design to the specific audience size and venue.
