Scandinavian XPO

Scandinavian XPO in Arlandastad is Sweden's – and the Nordic region's – best-located conference and event venue. Just five minutes from Stockholm Arlanda Airport with a complimentary shuttle service, midway between Stockholm and Uppsala along the E4 motorway, with 18,000+ sqm of event space under one roof, three exhibition halls, over fifteen meeting rooms and the Quality Hotel Arlanda XPO directly adjacent. Hall 1 is the venue's flagship space – approximately 1,650 sqm with a 10 m ceiling height, 4.8 m loading doors that allow full-size trailers to drive straight in, robust roof structure with Canalis tracks for advanced rigging and Powerlock outlets for touring productions. With soundproof block walls, Hall 1 can be divided into three separate sections of approximately 550 sqm each. We have delivered a 27 m wide video panorama and full-scale trade show productions with 50 moving fixtures in the ceiling here – and know Hall 1 inside out.

Hall 2, at 530 sqm, sits between Hall 1 and Hall 3 and works excellently as a mingling, lunch and breakout space or as a production kitchen for large gala dinners. Hall 3 resembles Hall 1 in flexibility but with a somewhat lower ceiling height – an excellent trade show hall with multiple entrance options and a direct connection to the Quality Hotel Arlanda XPO lobby.

Here we have set out the services we typically offer to clients organising events at Scandinavian XPO.

Sound technology

Scandinavian XPO has a basic installed sound system, but most professional events require a complete external solution. For NATO Industry Forum we delivered a full PA for the plenary in Hall 1 and several smaller systems for adjacent press and breakout spaces. For Destination Highlights Nordic XPO we delivered PA, wireless microphones, live band equipment and sound mixing for simultaneous stage, conference and entertainment use – including the nightclub in the breakout room.

Lighting technology

Hall 1's 10 m ceiling and robust Canalis tracks are an excellent platform for ambitious lighting rigs. For Destination Highlights Nordic XPO we rigged a massive array of 50 moving fixtures alongside Edgetron installations. For NATO Industry Forum we installed Edgetron fixtures as stage scenography along the back wall – a visually powerful element that has become a recognisable EDGE signature. The XPO smoke detectors can be controlled zone by zone, enabling effective haze and smoke use.

Video technology

For NATO Industry Forum we delivered a 27 m wide video panorama using three Epson laser projectors at 20,000 ANSI lumens each, with a further three rigged for redundancy – one of the widest projection solutions we have delivered. For Destination Highlights Nordic XPO we built six simultaneous image surfaces: three LED walls and three projected surfaces using Epson laser projectors, all controlled via a Watchout media server with studio camera and Steadicam production.

Décor

Our décor department delivers stages, carpeting, lounges and set designs for XPO's halls. For NATO Industry Forum we built three large lounge areas with furniture and décor across Hall 1 and Hall 2, a press photographer stand and a press conference room. For the hairdressing expo we built a stage deck with catwalk and two lounges of 300 sqm each. Scandinavian XPO's white, fabric-clad walls provide a neutral backdrop that works excellently with decorative set design solutions.

Carpentry

Our carpentry workshop contributes bespoke elements that elevate the production – entrance portals, photo walls, stage front cladding and custom constructions. For the hairdressing expo we built a massive eight-metre-wide photo wall at the entrance. For NATO Industry Forum we built a custom hexagonal ceiling fixture as the centrepiece of the main lounge – the kind of considered detail that characterises our work.

Print

The print department delivers banners, wall vinyl, cut-out logos and vinyl wraps for events at Scandinavian XPO. For NATO Industry Forum we supplied printed banners, wall vinyl and lectern wraps. For the hairdressing expo the photo wall was vinyl-wrapped and the entrance was branded with printed banners. XPO's large halls offer extensive surface area for large-scale print branding.

Content & Graphics

With large projected panoramas and LED walls, Scandinavian XPO productions demand high graphic precision. Our content and graphics department produces run files in the correct format and resolution for each display surface, ensuring all graphics sit perfectly – from stage backdrops to the 22 controllable signage screens throughout the venue.

Project management

Scandinavian XPO is a venue that rewards detailed venue knowledge and close collaboration with the XPO team. We have produced several events here and are well versed in the technical infrastructure, flow logistics and production constraints. Project manager Andreas "Kebbe" Kebbon has coordinated most of our deliveries at XPO and is a familiar face to the venue's production team.

Transport & Logistics

Hall 1's 4.8 m loading doors allow full-size trucks and trailers to drive directly into the hall – a significant logistical advantage. We transport our equipment from our warehouse in Sollentuna and always plan the logistics flow in close coordination with XPO's team to make efficient use of the hall's loading windows.

Concept & Visualisation

Scandinavian XPO's three halls and their combination possibilities make visualisation especially valuable – it is difficult to communicate a complex multi-hall event without 3D plans showing how all the elements connect. We always produce scaled rigging drawings and 3D visualisations showing the full venue built out and coordinated across all halls.

Pre-programming

For productions with complex video solutions – such as NATO Industry Forum's 27 m panorama with six projectors including redundancy – pre-programming and technical preparation are essential. At our studio in Sollentuna we can set up and test the complete video chain in advance and arrive at XPO with a show that is ready to run.

How are Hall 1, 2 and 3 combined for an event?

The halls connect via generous passages and can be booked separately or as a complete venue. The most common setup is conference and stage in Hall 1, mingling and lunch in Hall 2, and trade show or exhibition in Hall 3. For gala dinners of 1,500–3,000 guests, Hall 2 can serve as a production kitchen. We have extensive experience designing flows that optimise all three halls simultaneously within a single event.

We produced NATO Industry Forum 2023 – a summit with 800+ attendees from the global defence industry, the first to be hosted by a partner nation. The solution included a 27 m wide video panorama with six projectors in a redundant configuration, Edgetron stage scenography and lounges across Hall 1 and Hall 2.
